Introduction
The My Organisation Actions tab provides Organisation Administrators with a centralised view of all patient actions across the entire organisation. This powerful oversight tool helps you monitor workload distribution, identify overdue tasks, and ensure timely completion of patient care activities across all teams.
Before You Start
Required Permission: You must be an Organisation Administrator to access this feature.
This tab is not available to Team Owners, Clinical Users, or Staff Users -- they can view actions through the My Actions page or within their individual teams.
Steps
- From the sidebar, click My Organization
- Click the Actions tab (the second tab, between "Patients" and "Members")
- The actions table loads, displaying all patient actions across your organisation
The table shows the following information for each action:
- Status badge: Closed, Soon (due within 24 hours), Overdue, or Open
- Patient details: Photo, name, age, gender, date of birth, Medical Record #, and National ID
- Title: The action's name or description
- Location: The patient's current ward or location
- Assigned to: The staff member responsible (with their job title and speciality)
- Due: The due date and time, with relative timing such as "(2 hours overdue)" or "(3 hours from now)"
Sorting the Table
- Click any column header to sort by that column (Patient, Title, Location, Assigned to, or Due)
- Click the same header again to toggle between ascending and descending order
- Your sort preferences are automatically saved for your next session
The table displays 50 actions per page. Use the pagination controls at the bottom to navigate between pages.
Quick Close an Action
For routine completions that don't require detailed documentation:
- Click the checkmark icon on the action row
- The button changes to display Click to Complete
- Click Click to Complete within 2 seconds to confirm
The action is immediately marked as closed. If you don't click within 2 seconds, the button resets to prevent accidental closures.
Complete an Action with Details
When you need to record result notes or attach supporting files:
- Click the three-dot menu (⋮) on the action row
- Select Complete Action from the dropdown
- The Complete Action dialogue opens with the title: "Complete action [ACTION NAME] for patient [FIRST NAME] [LAST NAME]"
- Enter result details in the Result field (optional)
- Attach files if needed using the Attachments section (optional)
- Click Submit
The action is marked as closed with your result notes and attachments saved to the action record.
Reassign an Action
To transfer an action to a different team member:
- Click the three-dot menu (⋮) on the action row
- Select Reassign Action from the dropdown
- The system loads the action details and opens the Reassign Action dialogue
- Search for a team member using the autocomplete field
- Select the new assignee from the search results
- Click Submit
The action is now assigned to the selected staff member.
Update Progress on an Action
To add progress notes or attachments without closing the action:
- Click the three-dot menu (⋮) on the action row
- Select Update Progress from the dropdown
- The system loads the action details and opens the Update Progress dialogue
- Enter your progress note in the text field
- Optionally attach supporting files
- Click Submit
Your note and attachments are added to the action's progress history.
View Full Action Details
- Click anywhere on an action row (outside the action buttons)
- You navigate to the detailed Action View page for that specific action
Tips
- Sort by Due Date (the default) to prioritise the most urgent actions at the top of the list
- Look for Overdue badges to quickly identify actions that require immediate attention from team members
- Use Quick Close for routine task completions to save time -- reserve the full Complete Action dialogue for cases requiring documentation
- Monitor the Status column to track completion rates across your organisation
- Your sorting and pagination preferences persist across sessions, so the table remembers your preferred view
- Actions marked "Soon" are due within 24 hours -- use this to identify upcoming deadlines before they become overdue
