Introduction
The Team Referrals Tab allows you to manage patient referrals between teams. You can view incoming referrals from other teams (which you can accept or reject) and outgoing referrals your team has sent to other teams (which you can cancel if needed). This ensures smooth patient transfers across clinical units.
Before You Start
Required permissions:
- You must be a member of the team, OR
- You must be an Organisation Administrator
If you don't have access, you'll see a message stating "You do not have permission to view the referrals of this team."
Steps
Accessing the Referrals Tab
- From the sidebar, select Teams to expand the accordion showing your team list
- Click on the specific team name you want to view
- Click the Referrals tab at the top of the team view
The tab displays a badge showing the count of pending referrals if any exist.
Viewing Received Referrals
Once on the Referrals tab, you'll see two sections. The Referrals received section (marked with a down arrow) shows all incoming referrals.
For each received referral, you can view:
- Patient name (clickable link to patient details)
- Source team that sent the referral (clickable link to team view)
- Note with additional information about the referral
- Attachments badge showing the count, with a view button to open attachments
- Accept and Reject action buttons
If there are no received referrals, you'll see: "This team has no outstanding received referrals"
Accepting a Referral
- Locate the referral you want to accept in the Referrals received section
- Click the green Accept button (with checkmark icon) on the right side of the row
- The button displays a loading spinner whilst processing
- Once successful:
- The patient is admitted to your team
- The referral disappears from both your received list and the sending team's sent list
- The pending referrals badge count updates automatically
If an error occurs, a dialog box appears with the title "Referral Error" showing the error message. Click the close button to dismiss and try again.
Rejecting a Referral
- Locate the referral you want to decline in the Referrals received section
- Click the red Reject button (with cross icon) on the right side of the row
- The button displays a loading spinner whilst processing
- Once successful:
- The referral is permanently declined
- The referral disappears from both your received list and the sending team's sent list
- The pending referrals badge count updates automatically
If an error occurs, a dialog box appears with the title "Referral Error" showing the error message.
Viewing Sent Referrals
The Referrals sent section (marked with an up arrow) appears below the received referrals. This shows all outgoing referrals your team has sent to other teams.
For each sent referral, you can view:
- Patient name (clickable link to patient details)
- Target team that will receive the referral (clickable link to team view)
- Cancel button to withdraw the referral
If there are no sent referrals, you'll see: "This team has no outstanding sent referrals"
Cancelling a Sent Referral
- Locate the referral you want to cancel in the Referrals sent section
- Click the red Cancel button on the right side of the row
- The button displays a loading spinner whilst processing
- Once successful:
- The referral is withdrawn
- The referral disappears from both your sent list and the receiving team's received list
If an error occurs, a dialog box appears with the title "Referral Error" showing the error message.
Viewing Attachments
If a referral includes attachments:
- Look for the attachments badge showing the count
- Click the view button next to the badge
- An attachment carousel opens where you can view or download files
- Click to close the carousel when finished
Navigating to Related Records
You can click on any patient name or team name in the referrals table to navigate directly to:
- Patient detail view - to see full patient information
- Team view - to see the source or target team's details
Tips
- Badge indicators: The Referrals tab shows a badge count of pending referrals, and the Teams accordion in the sidebar also displays this count for each team
- Real-time updates: After accepting, rejecting, or cancelling a referral, both the received and sent lists refresh automatically to show the current state
- Loading states: When you click Accept, Reject, or Cancel, the button shows a loading spinner and all other action buttons on that row become disabled to prevent duplicate submissions
- No undo: Once you accept or reject a referral, the action cannot be undone. The patient will either be admitted to your team (accept) or the referral will be permanently declined (reject)
- Patient admission: Accepting a referral automatically adds the patient to your team's patient list - you'll see them in the Patients tab immediately
- Both perspectives: As a team member, you can see referrals from both directions - what's coming in to your team and what your team has sent out
