How to Reject a Referral

Introduction

When another team refers a patient to your team, you can review the referral details and decide whether to accept or reject it. Rejecting a referral notifies the referring team that you cannot take on the patient at this time.

Before You Start
  • You must be a member of the team that received the referral
  • The referral must still be pending (not already accepted or rejected)
  • You need permission to view the team's referrals
Steps
  1. From the sidebar, select Teams
  2. Click on the name of the team that received the referral
  3. Click the Referrals tab (the fifth tab in the row)
  4. In the Referrals received section at the top of the page, locate the referral you want to reject
  5. Review the referral details in the table:
    • Patient name
    • Source team (the team sending the referral)
    • Note from the referring clinician
    • Any attachments
  6. Click the red Reject button in the Actions column
  7. The button will show a loading spinner whilst the system processes your rejection
  8. Once complete, the referral will be removed from the Referrals received table
What Happens Next

When you reject a referral:

  • The referral is immediately removed from your team's received referrals list
  • The referring team sees the rejection in their sent referrals
  • All on-duty members of both the source team and your team receive a push notification
  • The notification states: "[Your name] has rejected a referral from [Source Team] to [Your Team]"
  • An audit log entry is created recording the rejection
If Something Goes Wrong

If the rejection fails, you'll see a Referral Error dialogue box with an explanation. Common reasons include:

  • Another team member has already accepted or rejected the referral
  • The referring team has cancelled the referral
  • You no longer have permission to access the team
  • Network connectivity issues

Click Close to dismiss the error dialogue. The referral will remain in the table, and you can try again if appropriate.

Tips
  • Review the referral note carefully before rejecting -- it may contain important clinical context
  • Check any attachments that have been included with the referral
  • If you're rejecting because the patient would be better served by a different team, consider communicating this to the referring clinician through other means (such as team chat if enabled)
  • If you accidentally reject a referral, the referring team will need to create a new referral -- rejections cannot be undone
