Introduction
Cancelling a referral withdraws your request to transfer a patient to another team. This is useful if the patient's condition changes, if you've referred to the wrong team, or if the referral is no longer needed. Once cancelled, the referral disappears immediately from both teams' referral lists.
Before You Start
- You must be a member of the team that sent the referral, or an Organisation Administrator
- The referral must still be pending (not yet accepted or rejected by the receiving team)
- Navigate to the team that sent the referral
Steps
-
From the sidebar, click Teams and select the team that sent the referral.
-
Click the Referrals tab (the 5th tab in the team view).
-
Scroll down to the Referrals sent section. This shows all outgoing referrals from your team.
-
Locate the referral you wish to cancel in the table. Each row shows the patient's name, the target team, and a red Cancel button.
-
Click the red Cancel button for the referral you want to withdraw.
The button will immediately show a loading spinner and become disabled whilst processing.
-
Success: The referral disappears from the table immediately. If this was your only pending referral, you'll see the message "This team has no outstanding sent referrals."
The receiving team will also see the referral removed from their Referrals received list immediately.
An audit log entry is created recording the cancellation.
-
If an error occurs: A dialog box appears with the title "Referral Error" and details of what went wrong. Click Close to dismiss the error. The referral will remain in the table, and you can try again or contact your administrator.
Tips
-
No confirmation dialog: The cancellation happens immediately when you click the button. Make sure you're cancelling the correct referral before clicking.
-
Silent success: There's no toast notification when a referral is successfully cancelled. The referral simply disappears from the list, which confirms the action worked.
-
Reversing a cancellation: If you cancel a referral by mistake, you'll need to create a new referral from the patient's profile. The original referral cannot be restored.
-
Check both sections: Remember that Referrals sent shows outgoing referrals (which you can cancel), whilst Referrals received shows incoming referrals from other teams (which you can accept or reject).
-
Team owner actions: Team Owners and Administrators can cancel any referral sent by their team, regardless of who created it.
