Introduction
When discussing patient care in team chat, you can quickly convert conversations into trackable actions. If a message mentions both a team member and a patient, CAREFUL automatically detects this and allows you to create an action directly from that message, saving time and maintaining context from your discussion.
Before You Start
Prerequisites:
- You must be a member of a team with chat enabled
- Your organisation must have the chat feature enabled
- The chat message must mention both a patient (using
!) and a team member (using@)
Permissions: Any team member can create actions from chat messages, provided they share a team with the mentioned patient.
Steps
Creating an Actionable Message
- From the sidebar, click Teams to expand the accordion, then click your team name
- Click the Chat tab (this tab only appears if chat is enabled for your team)
- In the message composer at the bottom, type a message that includes:
- A user mention: Type
@and select a team member from the list - A patient mention: Type
!and select a patient from the list - The task or action you want to assign
- A user mention: Type
Example: @Eleanor Walters Please review the discharge plan for !Thomas Hardy before tomorrow's ward round
- Send the message by clicking the send button or pressing Enter
Converting the Message to an Action
- After the message appears in the chat timeline, you'll see a + button (file plus icon) appear on the message
- For your own messages, the button appears on the left edge
- For messages from others, it appears on the right edge
- Hover over the button to see the tooltip: "Create a new action"
- Click the + button to create an action from this message
The Create Action dialogue box opens with the title: "Create new action for patient [FirstName] [LASTNAME]"
Completing the Action Form
The form automatically pre-fills with information from your chat message:
Required fields (already populated):
- Title: The message content without the mentions. You can edit this if needed
- Assignee: The team member you mentioned. You can search for a different user if needed (placeholder text: "Start typing a name to search users...")
Optional fields:
- Due date: Defaults to today. Select a different year, month, and day from the dropdowns if needed
- Due time: Select a time in 24-hour format (5-minute increments)
- Attachments: Upload any supporting files
- Detailed Description: Add additional notes or context
- Create another after submit: Tick this box if you want to create multiple actions for the same assignee
- Review and modify the pre-filled information as needed
- Click Submit to create the action
The dialogue closes and the action is immediately added to:
- The patient's Actions tab
- The assignee's My Actions list
- The team's Actions tab
If you ticked "Create another after submit," the dialogue reopens with the same assignee selected, ready for you to create another action.
Tips
Mentioning Syntax:
- Type
@to mention team members in your message - Type
!to mention patients in your message - Both mentions must be present in the same message for the + button to appear
Smart Pre-filling:
- The action title automatically removes the mention tags, leaving clean text
- The mentioned user is automatically assigned, but you can change this before submitting
- The due date defaults to today, but you can set any future date
Bulk Action Creation:
- Use the "Create another after submit" checkbox when you need to create multiple actions for the same person
- The dialogue will reopen with the assignee pre-selected, saving time
Validation:
- The Submit button remains disabled until both the title and a valid assignee are selected
- If you start entering a due date, you must complete all three dropdowns (year, month, day)
- Invalid users appear greyed out in the assignee search with a reason displayed
Chat Button Visibility:
- The + button only appears on messages that include both a patient mention (
!) and a user mention (@) - Messages with only one type of mention, or neither, will not show the button
