How to Add a Team Owner

Introduction

Team owners have expanded privileges to manage their teams, including adding members, renaming the team, and managing handover categories. This guide shows you how to promote an existing team member to the team owner role.

Before You Start

Required permissions: You must be either:

Prerequisites:

  • The user you want to promote must already be a member of the team
  • The user must have the role "Member" (not already a team owner)
Steps
  1. From the sidebar, select Teams.

  2. Click on the name of the team where you want to add a new owner.

  3. Click the Members tab.

  4. Locate the team member you wish to promote in the members table. Their current role will display as "Member" in the Team Role column.

  5. Click the action menu (⋮) on the far right of their row.

  6. Select Promote to Team Owner from the dropdown menu.

  7. A confirmation dialogue appears with the title "Confirm Promotion to Team Owner" and the message "Are you sure you want to promote [First Name] [Last Name] to team owner?"

  8. Click Yes to confirm the promotion.

  9. The members table refreshes automatically. The user's role now displays as "Team Owner" in the Team Role column.

What Changes When Someone Becomes a Team Owner

Once promoted, the user gains the following privileges:

Important notes:

  • The user's organisation role (Administrator or standard user) remains unchanged
  • Their membership in other teams is not affected
  • Existing patient assignments and actions remain the same
  • A team can have multiple team owners
Removing Team Owner Status

Only Organisation Administrators can demote a team owner back to a standard member. Team owners cannot demote each other -- this prevents team owners from removing each other's privileges.

To demote a team owner:

  1. Follow steps 1-5 above
  2. Select Demote to Team Member from the dropdown menu
  3. Confirm the action
Tips
  • Multiple owners: Teams can have multiple team owners. This allows you to distribute team management responsibilities across several senior staff members.

  • Can't see the option?: If you don't see "Promote to Team Owner" in the menu, check that:

    • You are an Organisation Administrator or Team Owner
    • The user is currently a "Member" (not already an owner)
    • You're looking at the correct team
  • Immediate effect: The promotion takes effect immediately. The user will see their expanded team management options as soon as they refresh or navigate to the team.
