Introduction
Patient status helps you track where each patient is in their care pathway. You can update a patient's status at any time to reflect their current clinical state, and optionally backdate the change if needed.
Before You Start
- You must be a member of at least one team that the patient belongs to
- You cannot change the status of INACTIVE patients
- Status options are configured by your organisation administrator
Steps

Navigate to the patient whose status you want to update. You can find them via My Patients in the sidebar, or through a team's patient list.

Click on the patient's name to open their patient profile. The Profile tab displays by default.

In the patient details section, locate the Status field. It shows the patient's current status as a coloured badge with a pencil edit icon.

Click on the status field. The "Update patient status" dialog box appears.

The Current status field shows the patient's existing status (read-only). Click the New status dropdown and select the status you want to assign.
- Choose No Status to clear the patient's status entirely
- Or select any status configured for your organisation
- If you accidentally select the same status, an error message appears: "Error: It looks like the patient is already in this status"

(Optional) To backdate the status change, click the Date of change (optional) field and select a past date and time. You can also click the clock icon to quickly set the current date and time.
- Dates must be in the past only
- If you enter a future date, an error appears when you click Submit

Review any warnings that appear:
- Yellow warning for Deceased status: "It looks like you are setting the patient status to be Deceased. Please make sure this is definitely what you want to do before you submit."
- Yellow warning for backward movement: "It looks like you are moving the patient status back one or more steps. Please make sure this is definitely what you want to do before you submit"
- These warnings don't prevent submission—they're just alerts to confirm your intention

Click Submit (bottom right). The button shows a loading state while processing.

When successful, the dialog closes automatically, the patient profile refreshes, and the status badge updates to show the new status.

(Optional) Click the Log tab to see the audit trail entry: "Status changed" with the new status value.
Tips
- Quick access: The status field is always visible on the patient profile—you don't need to use the kebab menu
- Backdating: Use the date picker if you're updating records retrospectively. The clock icon is a shortcut to set the current date and time
- Notifications: When you change a patient's status, other users who are responsible for that patient and currently on duty receive a push notification
- Audit trail: Every status change is logged with your name, the timestamp, and the new status value
- "No Status" option: Use this to remove a status entirely if the patient doesn't fit your current workflow categories
- Backward movement: The system warns you if you're moving a patient to an earlier status in your organisation's sequence, but it doesn't prevent the change—sometimes you need to correct mistakes or handle exceptional cases
Common Issues
- Status field not clickable: If the patient's status is INACTIVE, you cannot change it. INACTIVE patients are read-only.
- "Same status" error: You've selected the status the patient already has. Choose a different status or click the X to close the dialog.
- Future date error: Status changes can only be backdated, not future-dated. Correct the date to be in the past or leave it blank to use the current time.
