Policies and Agreements

Introduction

CAREFUL's policies and agreements are legal documents that you must acknowledge when registering a new organisation. These policies cover patient confidentiality, data protection, and how the CAREFUL platform handles patient-identifiable data.

Before You Start
  • You will see the policies during organisation registration (before you have access to the main application)
  • All organisation administrators must acknowledge the policies to complete registration
  • No special permissions are needed - this is a required step for all new organisations
Understanding CAREFUL's Policies

When you register a new organisation in CAREFUL, you'll see two important warnings:

  1. Patient Confidentiality Warning: The system may store patient-identifiable data (PID). You have legal responsibility to maintain patient confidentiality
  2. Activity Logging Warning: Your activity is automatically logged and may be audited
Policy Documents

The complete policies are available at the policies and agreements page (a link that opens in a new browser tab). This includes:

  • End User Licence Agreement (EULA): Terms of service for using CAREFUL
  • Data Processing Agreement (DPA): How patient data is handled and protected
  • Data Sharing Agreement (DSA): Rules for information sharing between organisations
Steps to Review and Acknowledge Policies

During organisation registration:

  1. Read the warnings displayed on the registration page
  2. Click the "policies and agreements page" link to review the full policy documents in a new tab
  3. Read through the policies to understand your legal obligations
  4. Return to the registration page
  5. Tick the acknowledgment checkbox: "By ticking this box you acknowledge the above warnings and agree to our standard terms of use"
  6. Complete the reCAPTCHA verification (required for security)
  7. Click "Sign-up for free" to complete registration

The submit button will only become active once you've ticked the checkbox and completed the reCAPTCHA.

After Registration

Once your organisation is registered, you can access the policies at any time by visiting https://www.careful.online/policies directly in your browser. The policies are not accessible through the main CAREFUL application after registration.

Tips
  • Take your time: These are legal documents that establish your obligations when handling patient data
  • Keep a copy: Bookmark the policies page for future reference
  • Share with your team: All users in your organisation are bound by these policies, even though only the organisation administrator acknowledges them during registration
  • No customisation: The policies apply to all CAREFUL organisations and cannot be modified or customised for individual organisations
  • Compliance matters: Understanding these policies is essential for GDPR compliance and proper data governance
